Your team and what each role can see

Five roles, the exact permission table, and how to invite someone. A VA can price orders without seeing your profit.

You can bring in a VA to price orders, an accountant to read the numbers, or a manager to run the lot — each seeing only what their job needs.

Invite a teammate

They get the invitation by email and join with exactly the access their role grants — the table below says precisely what that is.

What each role can do

Enforced on every page and every action — this table is generated from the same rules the server checks, so it is always the truth. Owners can do everything, including billing and this team.

LiveSettings → Team, playing on its own: type an email, pick a role and its description appears underneath — so you see exactly what you are granting — then Invite. The link is emailed, copied to your clipboard, and the invitation waits under Pending.

ManagerRuns the operation day to day — everything except billing and the team.
VAEnters buying prices, sees cost added by supplier, and answers refund questions. No profit or sales totals.
AccountantReads the numbers and manages expenses. Cannot touch orders or eBay.
Read-onlySees everything the dashboard shows, changes nothing.

This is not a description of the rules — it is generated from the rules the server actually checks, and the same table is printed inside the app. Pages a role cannot open are hidden from their sidebar rather than bouncing them.

The VA role is the interesting one. A VA can price your orders and answer refund questions, and can see what was spent with which supplier — but cannot see the dashboard, your profit, your analytics or your reports. You can hand over the data entry without handing over your margins.

And an Accountant deliberately cannot enter buying prices or touch your eBay connection. They read the numbers and manage expenses.

Inviting someone

  1. Settings → Team, as the owner.
  2. Enter their Email and pick a Role. The role's description appears underneath as you choose, so you can see what you are granting.
  3. Press Invite.

They get an email, and the link is copied to your clipboard too — a useful fallback when an invite lands in a spam folder. Invitations are good for 7 days, and inviting the same address again replaces the earlier one.

You cannot invite an Owner; there is one per workspace.

Pending invitations

Each has three buttons: resend the email (same link, expiry rolled forward another 7 days), copy the link, or revoke it.

An invite only works for the email address it was sent to. If they signed up with a different address, revoke it and send a new one to the address they actually used.

Changing a role, or removing someone

Role is a dropdown on their row. You cannot change your own role, and the Owner's role cannot be changed. Removing someone is the bin icon — immediate, with no confirmation step, so be deliberate.

Every invite, join, role change and removal is written to Settings → Activity, which cannot be edited.

Ownership

There is no self-serve way to transfer ownership of a workspace or to leave one. If you need either, ask support.

Email support@baiord.com

Baiord connects to eBay through eBay's developer APIs with read-only permissions, approved on eBay's own sign-in page. It cannot list, end or reprice an item, message a buyer, issue a refund or move money, and it never sees your eBay password. You can withdraw its access at any time, from Baiord or from your eBay account.

Profit is what eBay reports — the sale, the postage your buyer paid, any discount you gave and every fee eBay charged — less the buying price you enter, with refunds, fee credits and supplier refunds on the order they belong to. Sales tax and VAT that eBay collects and remits are neither revenue nor cost. An order without a buying price is left out of profit until it has one.

Days and months start at midnight in your workspace's time zone — the zone eBay cuts your statements in, set from your marketplace. A refund counts in the month it arrived unless you choose the month of the original order.

Prices are in US dollars and are the whole price; no VAT is added. Each eBay account has its own workspace, so two sets of books never mix: Solo covers one account, Multi covers three.

Features are subject to change. Some features, such as Finance, are switched on per workspace.
