One page covers buyer refunds, the supplier money owed back to you, and return outcomes. The header puts the job plainly: answer the supplier question on each refund and the figures update.
The three tabs
| Tab | What is in it |
|---|---|
| Refunds | Buyer refunds, with the supplier question on each. The default. |
| Returns | Returns, with their eBay state and your own two decisions. |
| Cancelled | Orders eBay cancelled. |
Cancelled orders appear only on their own tab — never in the refunds or returns lists, under any filter. eBay refunded the buyer, but you never bought or shipped anything, so there is no supplier money to chase and nothing to decide.
The money strip
Above the table, four figures:
- Recovered to date — what your suppliers have actually paid back
- Still recoverable — what you may yet be owed, counted once per order
- Overdue from suppliers — how many are late
- Written off — what you marked as not coming back
When there is money outstanding, a green banner leads with it: "Baiord found £412.30 you may be able to recover." See supplier-refund recovery for what each figure counts.
The four filters on the Refunds tab
- Needs answer — you have not said whether the supplier refunded you
- Expecting — you said it is coming
- Settled — received, partial, or confirmed not coming
- All — the default
Every unanswered refund in the current list also appears as a question card at the top, so the work comes to you rather than waiting to be found. When nothing is left: "Every refund is answered — supplier recoveries are folded into profit automatically."
The refunds columns
Refunded, Ordered, Order, Product, Buyer refund, Fee credit, Recovered, Supplier status, Order profit. Supplier order # is available from the Columns button, hidden by default.
Fee credit is the fees eBay handed back on the refund. Baiord stores and shows the gross, the credit and the net separately, exactly as eBay's own report does, so your figures can be checked against it line by line.
Answering several at once
Tick rows and a bar appears with two buttons: Received in full and No refund coming. Up to 100 at a time. Only unanswered and expecting rows can be selected — a settled one needs a deliberate change, not a bulk sweep.
Search and the order drawer
The search box matches order number, buyer username, product title and supplier order number. Clicking an order number opens its drawer over the page rather than navigating away, so your tab, filter, page and scroll position survive. The supplier question appears inside the drawer too.
Who can do what
Everyone can see this page. Answering needs the Answer refund and return questions permission — the Owner, a Manager or a VA. The money strip is hidden from a VA, who is not meant to see sales and profit totals. See team and roles.
