What a refund does to profit

A refund subtracts the gross and adds back eBay's fee credit. Why Baiord stores both, and how cancellations are kept separate.

The arithmetic On the dashboard and the P&L Cancellations are not refunds Drilling in Which month it lands in

When you refund a buyer, two things happen: money goes back to them, and eBay gives you some of its fees back. Baiord tracks both, because only the pair of them tells you what the refund actually cost.

LiveA refund, playing on its own: open the refunded order and its breakdown shows the whole refund — the buyer refund taken off, the fees eBay credited back added on. Record that the supplier refunded you and a third line, supplier refund, brings the order back from −$25.43 to −$1.43.

The arithmetic

A refund subtracts the gross — what the buyer received — and adds back the fee credit eBay handed you. The net effect is the cash that actually left you.

Baiord keeps all three numbers rather than only the net: the gross, the credit, and the net. That is how eBay's own report presents it, which means your figures can be checked against eBay's line by line instead of taken on trust.

On the dashboard and the P&L

The row is labelled Buyer refunds (net of fee credits), with a minus sign. It is named for exactly what it is, after an earlier version printed a separate "fee credits" line that read 0.00 and left people thinking eBay had credited nothing.

Two more rows appear when they apply:

  • Supplier recoveries, with a plus — money a supplier gave you back. See supplier-refund recovery.
  • Returned stock credited back, with a plus — the value of a returned unit you put back on the shelf. See returns and the return shelf.

Cancellations are not refunds

When eBay cancels an order it refunds the buyer, but nothing went wrong and nothing was bought. So a cancellation gets its own line — Cancelled orders (refunded by eBay) — placed between sales and net sales, ahead of any refund figure.

Counting a cancellation as a buyer refund would make a quiet month of cancellations look like a quality problem. It is not one.

Drilling in

The refunds row on the dashboard breakdown is clickable. The sheet behind it lists each refund with the amount the buyer got, less eBay's fee credit, the supplier status, and the word "cancelled order" where that is what it was. The footer totals it net.

Which month it lands in

That is a choice you make once — see which month a refund counts in.

More in Refunds and returns

The Refunds & Returns pageThree tabs, four filters, and the one question Baiord needs you to answer on each refund. Getting your money back from suppliersWhen eBay refunds a buyer, your supplier usually owes you the buying cost back. How Baiord tracks it, and what each of the four figures counts. Returns and the return shelfTwo decisions per return: what the supplier did, and whether the unit can be sold again. Plus why a resaleable return credits your profit back. Claims, disputes and the claim badgeWhy only some refunds get a claim badge, and why dispute holds never appear as refunds.

Email support@baiord.com

Baiord connects to eBay through eBay's developer APIs with read-only permissions, approved on eBay's own sign-in page. It cannot list, end or reprice an item, message a buyer, issue a refund or move money, and it never sees your eBay password. You can withdraw its access at any time, from Baiord or from your eBay account.

Profit is what eBay reports — the sale, the postage your buyer paid, any discount you gave and every fee eBay charged — less the buying price you enter, with refunds, fee credits and supplier refunds on the order they belong to. Sales tax and VAT that eBay collects and remits are neither revenue nor cost. An order without a buying price is left out of profit until it has one.

Days and months start at midnight in your workspace's time zone — the zone eBay cuts your statements in, set from your marketplace. A refund counts in the month it arrived unless you choose the month of the original order.

Prices are in US dollars and are the whole price; no VAT is added. Each eBay account has its own workspace, so two sets of books never mix: Solo covers one account, Multi covers three.

Features are subject to change. Some features, such as Finance, are switched on per workspace.
